A real estate acquisitions company needed to manage a property pipeline, but leads and property records were not tracked as a workflow. Multi-property batches could not be handled, and reporting had no home.
The bottleneck
The team needed to move each parcel through ownership research, financials, property characteristics, utilities, review, and resale. Without a shared workflow, the steps and their status were difficult to track at volume.
What we built
A due-diligence pipeline organized the work into seven stages: Intake → Ownership → Financials → Characteristics → Utilities → 5 Minute Review → Resale.
An AI integration in the resale stage automatically drafted listing descriptions and populated them back into the pipeline when a property was marked for resale.
What changed
The team processes more than 200 parcels each month—2,400 annually—with three virtual assistants.
Three VAs handle a volume of work that would otherwise require ten.
The company gained a repeatable operating flow from property intake to resale, with a defined place for each record and stage of work.
